Office Manager

This is a full-time, exempt, salaried opportunity with Monday-Friday workdays. This role is based in Denver, CO and requires in-office presence at least three days per week. The Office Manager reports to Laura and supports the Executive Leadership Team through high-quality office operations, executive coordination, guest hospitality, vendor management, and company event logistics.

JOB DESCRIPTION:

We are seeking an Office Manager to serve as the operational heartbeat of Warehouse Anywhere’s Denver office and a trusted administrative partner to the CEO and broader company.

This role owns the day-to-day office experience, supports proactive calendar and travel coordination for the CEO, manages vendors and logistics for key company meetings and events, and ensures the office is organized, stocked, welcoming, and operating smoothly. The Office Manager will represent WHA with professionalism and warmth when greeting guests, coordinating executive travel bookings, and supporting high-visibility meetings such as Board meetings, customer appreciation events, and team building sessions.

This is a hands-on role that requires strong judgment, attention to detail, confidentiality, follow-through, and comfort balancing planned work with the inevitable office curveballs that roll in wearing tiny logistical hats.

KEY RESPONSIBILITIES:

Executive Support & Calendar Coordination

  • Provide proactive calendar management for Laura, including scheduling, reminders, meeting coordination, and appropriate follow-up
  • Serve as an ambassador for Laura when hosting guests, greeting visitors, managing the guest experience, and providing timely reminders related to waiting guests or meeting timing
  • Perform all Executive Leadership Team travel booking, including researching options, coordinating logistics, and supporting changes as needed
  • Protect confidentiality and exercise sound judgment when handling executive schedules, visitors, travel details, and sensitive business information

Office Operations & Daily Readiness

  • Oversee daily office operations to ensure the Denver office is organized, stocked, welcoming, and ready for employees, leaders, customers, partners, and guests
  • Conduct an end-of-day walk-through to collect and route mail, unused IT equipment, office materials, and other items that need follow-up
  • Keep the kitchen and office supply areas stocked with utensils, beverages, toilet paper, napkins, paper towels, and other essentials using the Amazon Business account
  • Run the dishwasher at the end of the day and unload it in the morning to keep shared spaces clean and functional
  • Collect, sort, and distribute mail, including checking the basement daily and ensuring items reach the right person or team
  • Administer and track the parking voucher process, ensuring accurate distribution, usage tracking, and timely issue resolution

Vendor, Facilities & Corporate Services Management

  • Oversee corporate services vendors and ensure quality, cleanliness, timeliness, and reliability of facilities-related services
  • Manage vendor relationships for office supplies, kitchen needs, parking, amenities, event support, and other recurring office services
  • Evaluate cost alternatives for hotels, vendors, office supplies, kitchen needs, parking, and amenities while balancing service quality and business needs
  • Identify and escalate facilities, service, or vendor concerns early, with practical recommendations for resolution

Events, Meetings & Guest Experience

  • Manage vendors and logistics for company events, including team building sessions, Board meetings, customer appreciation events, and other company gatherings
  • Coordinate meeting setup, guest arrival support, hospitality needs, supplies, timing, and post-event cleanup or follow-up
  • Partner with internal stakeholders to anticipate event needs, confirm details, and create a seamless experience for attendees
  • Represent WHA professionally in all guest, vendor, customer, partner, and employee interactions

Administrative Support & Special Projects

  • Support ad hoc administrative projects, office initiatives, and logistics work that improves day-to-day business operations
  • Maintain simple tracking tools for recurring responsibilities such as travel, parking vouchers, vendors, supplies, mail, and event logistics
  • Complete other duties as assigned by the CEO

  • Executive Support Reliability: Calendar coordination, guest reminders, and ELT travel bookings are accurate, timely, and handled with appropriate judgment
  • Guest Experience: Visitors, customers, partners, vendors, and Board members are greeted and supported professionally
  • Event Execution: Company events, team sessions, Board meetings, and customer appreciation events are planned and executed smoothly
  • Vendor & Facilities Management: Corporate services vendors meet quality, cleanliness, timeliness, and service expectations
  • Cost Stewardship: Cost alternatives are evaluated thoughtfully for hotels, vendors, supplies, parking, and amenities
  • Administrative Accuracy: Parking vouchers, mail, supplies, equipment handoffs, and recurring office tasks are tracked and handled accurately

QUALIFICATIONS:

  • 3+ years of experience in office management, executive support, administrative operations, hospitality, facilities coordination, or a similar role
  • Experience supporting senior leaders or executive-level stakeholders with calendar coordination, travel booking, guest management, and confidential information
  • Strong organizational skills with the ability to manage recurring responsibilities, competing priorities, and time-sensitive requests
  • Excellent communication and interpersonal skills, with a polished and welcoming presence for guests and employees
  • Experience coordinating vendors, office services, supplies, meetings, or company events
  • Comfort using Microsoft 365 tools such as Outlook, Teams, Word, Excel, PowerPoint, and SharePoint
  • Ability to work in the Denver office at least three days per week, with flexibility to support occasional meetings or events outside the standard schedule as business needs require
  • Strong judgment, discretion, and reliability when handling confidential or high-visibility matters
  • Hands-on mindset and willingness to support both strategic coordination and practical office tasks

PREFERRED ATTRIBUTES:

  • Experience in a growing, private-equity-backed, SaaS, technology, logistics, or professional services environment
  • Experience supporting Board meetings, customer-facing events, executive meetings, or company-wide team events
  • Experience managing office vendors, supplies, facilities services, Amazon Business, travel tools, or parking processes
  • Comfort building simple tracking processes, checklists, and routines to keep office operations running smoothly

CAREER PATH:

This role has the opportunity to grow as WHA scales. With continued success, the Office Manager may expand scope into broader executive operations, workplace experience, facilities coordination, or administrative leadership responsibilities.

COMPENSATION STRUCTURE:

  • Base salary range: $70,000-$90,000 annually. Actual compensation will depend on experience, qualifications, skills, internal equity, and business needs.
  • This is an exempt, salaried position.
  • This compensation range does not include the value of benefits.
